Modern organizations face a growing challenge: knowledge loss and productivity gaps. As asset environments become increasingly complex, retaining experienced staff is harder than ever. When seasoned employees retire or leave, critical technical knowledge often disappears with them. This expertise typically resides in scattered documents, spreadsheets, or even individual memory, making it inaccessible to new teams.

Key Pain Points

  • Knowledge often gets lost because important experience is spread across documents, spreadsheets, or just in people’s heads, making it hard to find when you actually need it
  • New employees take longer to settle in because they don’t have easy access to past data or proven best practices, so they have to keep asking others for help
  • Information isn’t in one place, it’s scattered across manuals, maintenance logs, reports, and emails, so finding the right answer takes time, experience, and strong Maximo knowledge

An AI Assistant Inside Maximo

Imagine interacting with your asset data as if you were talking to a teammate. Maximo’s AI Assistant, introduced in MAS 9.1, makes this vision a reality. Instead of navigating complex menus or writing SQL queries, users can simply ask questions in natural language.

What Can It Do?

  • Understand natural language queries
  • Deliver instant insights from work orders, meter data, and maintenance history
  • Assist technicians in real time with troubleshooting
  • Capture and democratize organizational knowledge
  • Help new staff perform like seasoned experts from day one

How It Works

Instead of spending hours digging through menus or reports, users can simply ask"

  • “Show me open work orders for Pump 2001.”
  • “List all service requests created today.”
  • “Find assets with overdue preventive maintenance.”

The AI Assistant responds with dynamic, interactive tables that can be sorted, filtered, and acted upon without requiring technical expertise.

Beyond Queries: On-Demand Analytics

Maximo’s AI Assistant doesn’t just pull records from the system—it can also perform mathematical calculations on the data. Instead of exporting information or building reports, users can simply ask questions that involve counting, adding, averaging, or comparing values.

For example, you can ask

  • Count: “How many PMs are overdue?”
  • Sum: “What’s the total cost of work orders this month?”
  • Average: “What’s the average downtime per asset type?”
  • Frequency: “Which failure codes appear most often?”
  • Max/Min: “Which assets have the highest number of breakdowns this year?”

Licensing & Access

Usage is based on content tokens consumed by AI features. Each time the assistant processes text, tokens are consumed.

  • License Model:
    • 1 Billion content tokens per month = 10 AppPoints
    • Pay only for actual monthly usage—making it scalable and cost-efficient
  • Access Control:
    • Managed through dedicated security groups for engineers and technicians

Now lets see a quick video demonstrating the features of AI with some examples.
